What the Sr. Contract Manager does at Worldwide
SUMMARY: The Senior Contract Manager is responsible for guiding Sponsor contracts (Work Orders), change orders, and associated processes for Worldwide. The Senior Contract Manager is well-versed in the coordination, preparation, and management of all requested contracts and collaborates with Worldwide Legal Department, Business Development/Commercial Operations, Proposal and Client Services, Project Management, and Operations to help ensure consistency and compliance throughout the contract process. In addition, this position provides mentoring and training to the Contracts Team and Proposals Team.
What you will do
- Designing methods and procedures
- Improving contract processes, tools, and strategies
- Collaborating with relevant operational groups during contract (Work Orders, Amendments, and Change Orders) development
- Performing Quality Control (QC) review of completed contract agreements
- Assigning, tracking, and reporting the status of all Sponsor contracts in the tracking tool (Excel)
- Following up on contract status as needed with Business Development, Proposals, Client Services, Operations, and the Change Order team
- Updating and uploading fully executed contracts into the filing/archive system (ex. Salesforce and SharePoint) to ensure all Sponsor contracts are properly tracked and archived
- Coaching and mentoring the Contracts Team relative to function and duties
- Developing, managing, and updating pricing model(s), costing tools, and proposal text templates
- Providing training in new services, methods, and procedures for the Contracts Team and Proposals team
- Participating in client meetings and teleconferences as needed
- Interacting with clients as needed
- Guiding processes and providing feedback to line management
- Assist as needed in drafting, editing, and finalizing Sponsor contracts, including work orders, amendments/change orders
- Cross-training in Proposals and Client Services to assist the Proposals and Client Services Department as needed, including proposal development, tracking tools, request for information (RFIs), budgets, and special projects
- Perform other duties as assigned. The duties and responsibilities listed above are representative of the nature and level of work assigned and are not necessarily all-inclusive
What you bring to the role
- Highly proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, AdobeSign, DocuSign, and web platforms
- Ability to work independently with confidence, efficiency, and accuracy with minimal supervision
- Experience in leadership and contract development, plus strong organizational management skills
- Clear understanding of best business practices with respect to contract development processes
- Effective planning, strategizing, managing, and critiquing skills
- Strong interpersonal skills in a fast-paced, deadline-oriented, and changing environment
- Sound communication skills, including the ability to articulate via the phone, writing, and in person, with a high degree of professionalism
- Strong attention to detail, analytical, and problem solver
- Good organizational skills; ability to prioritize, multi-task, delegate, and evaluate work
- Flexibility and ability to adjust on the fly to new demands; sense of urgency
- Knowledge of general corporate business practices, commercial contracting principles
- Prior exposure in contract development and business development operations
- Demonstrated written and verbal communication skills
- Proactive person, ability to deliver, practical passion to perform, always stronger and better
Your experience
- Bachelor's degree, preferably in Life Sciences or Business
- Eight to ten years of direct experience preparing proposals/budgets and contracts for the clinical trial industry, preferably in a Contract Research Organization (CRO) environment
Promotion to the next level is not automatic based on years of experience. Personnel are evaluated on proven competency, level of responsibility, and ability to work independently.
